1. Who we are and what this document is

WorkAid is a claimant-side recordkeeping and organization tool for California workers' compensation. It is operated by WorkAid, Inc.

This notice explains what information WorkAid collects when you use the app, how that information is used, and what choices you have. These practices may evolve as WorkAid grows. We will update this notice when material changes occur.

2. Information we collect

When you use WorkAid, we collect information that you enter or upload:

• Account information — your name and email address used to create and access your account.
• Claim details — injury date, employer information, carrier or insurer, claim number, adjuster contact, DWC-1 filing date, and related claim fields you enter.
• Injury and workers' compensation information — information about your workplace injury and claim status that you add to your record, which may include health and injury details.
• Treatment and care access records — treatment visits, authorization requests, referral status, and related notes you log.
• Payment tracking records — temporary disability payment dates, amounts, covered periods, and any dispute notes you enter.
• Communication logs — records of calls, emails, letters, and adjuster interactions that you log manually.
• Message drafts — draft messages you create using WorkAid's message drafting feature.
• Uploaded documents — files you upload to your document vault, such as medical records, letters, and claim forms.
• Payment information — if you subscribe to a paid WorkAid plan, your payment is processed by our payment processor. WorkAid does not store full card numbers or banking credentials.
• Technical and log data — standard server and access logs generated when you use the app, such as request timestamps and error records.

WorkAid uses limited measurement technologies on certain public marketing pages (such as our homepage, pricing, sign-up, and log-in pages) to understand website performance and measure advertising effectiveness. These tools are not used within authenticated claim areas or to collect or share the contents of your claim, medical records, uploaded documents, or private account information for advertising purposes. We also use privacy-focused aggregate website analytics to improve the Service.

We do not collect information about you from third-party sources.

3. How we use your information

We use your information solely to operate WorkAid and provide its features to you:

• To operate your account and authenticate your access.
• To organize your claim records and display them in your dashboard, timeline, vault, payments tracker, treatment tracker, and communications log.
• To support the message drafting feature — your drafts are stored so you can return and edit them.
• To process subscription payments when applicable.
• To improve WorkAid's functionality — we may review usage patterns in aggregate to identify issues and improvements.
• To maintain security, diagnose errors, and troubleshoot problems.

We do not use your claim information, injury details, medical records, or uploaded documents to train machine learning models or to build advertising profiles.

4. Health and injury-adjacent information

WorkAid is a claim recordkeeping tool. When you use WorkAid, you may enter or upload information that relates to your physical injury, medical treatment, or workplace incident. This information is stored in your private account and used only to operate the features you choose to use.

WorkAid is not a healthcare provider and does not provide medical advice. Your injury and treatment records in WorkAid are recordkeeping entries only — they are not medical records held by a covered entity under HIPAA. WorkAid does not share your health or injury information with your employer, insurance carrier, claims administrator, doctor, attorney, or any third party except as described in Section 6 of this notice.

5. What WorkAid does not do

• WorkAid does not sell your personal information, including your claim files, uploaded documents, treatment records, payment records, or claim-related communications.
• WorkAid does not use your uploaded claim documents or medical records for advertising or marketing.
• WorkAid does not automatically send communications on your behalf. You review, edit, and send every message yourself.
• WorkAid does not provide legal advice.
• WorkAid does not provide medical advice.
• WorkAid does not represent you in your workers' compensation claim.
• WorkAid does not contact your employer, insurance carrier, claims administrator, doctor, attorney, the WCAB, or any other third party on your behalf.

6. Sharing and disclosure

Your information is not sold or shared with third parties for their independent use. We may share information in the following limited circumstances:

• Service providers — WorkAid uses Supabase (database and authentication), Vercel (hosting and deployment), and Stripe (payment processing) to operate the app. These service providers process data on our behalf and are permitted to use your information only to provide services to WorkAid — not for their own purposes.
• Legal and compliance — We may disclose information if required by law, court order, or to respond to a valid legal process, and only to the extent required.
• User-directed sharing — If you ask us to share or export your data, we will do so only as you direct.

7. Document uploads and storage

Files you upload to your document vault are stored in a private, access-controlled storage bucket. Files are not publicly accessible. Only your authenticated account can access your uploaded files through WorkAid.

You are responsible for the accuracy and appropriateness of files you upload. Do not upload documents belonging to others without authorization.

8. Data retention

Your account and all associated data — including claim records, documents, payment logs, and communications — are retained while your account is active or as needed to provide the service. We retain data for a reasonable period after account closure to comply with legal obligations, resolve disputes, and maintain service integrity.

If you would like your data deleted, contact us at beta@workaidapp.com. We will process deletion requests within a reasonable timeframe consistent with our legal obligations.

9. Your choices and rights

You can request access to, correction of, export of, or deletion of your account data at any time by emailing beta@workaidapp.com. We will respond within a reasonable timeframe.

You may also delete individual records and uploaded files directly within the app where those controls are available.

10. Security

WorkAid uses reasonable administrative, technical, and organizational safeguards to protect your information, including encrypted connections (HTTPS), access-controlled database storage, row-level security policies, and authenticated sessions. Document files are stored in a private, non-public storage bucket.

No system is perfectly secure. We cannot guarantee that unauthorized access, data loss, or disclosure will never occur. If you believe your account has been compromised, contact us immediately at beta@workaidapp.com.

11. Children

WorkAid is not intended for use by anyone under the age of 18. We do not knowingly collect information from children. If you believe a child has created an account, please contact us and we will delete it.

12. California Privacy Notice

WorkAid is currently focused on California workers' compensation users and may be offered through selected access, paid subscriptions, or other controlled launch methods.

Under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), California residents have the right to know what personal information is collected, to request deletion, to correct inaccurate information, to opt out of the sale or sharing of personal information, and to not be discriminated against for exercising these rights.

WorkAid does not sell or share users' personal information, claim files, uploaded documents, treatment records, payment records, or claim-related communications with third parties for their independent use or for cross-context behavioral advertising.
